Duties and Responsibilities
- Purchasing
- Purchase office supplies and other items submitted by company personnel
- Distribute order to the Accounts Payable department
- Place orders for raw materials (steel, stampings, etc)
- Record the receipt of raw materials and verify pricing
- Track steel pricing
- Backup to steel purchasing in the absence of Materials Management Manager.
- Order Support
- Track customer orders via internet
- Create work orders to support customer requirements
- Review routings, bills of materials and work orders for accuracy
- Backup for the routing of parts and bills of materials
- Print and fax steel purchase orders and assist in correspondence
- Assist Materials Management Manager with order entry
- Customer Service
- Assist Materials Management Manager in handling all customer service
- Answer incoming phone calls and the front door
- Accounts Receivable
- Sales Order Invoicing
- Backup for cash receipts
- Maintain and properly archive all company invoices
- Prepare and process credit authorizations, as necessary
- Prepare and obtain the proper approvals for the sales rep commissions
- D.I transfers and any other electronic transactions
- Month end closing
- Reporting
- Publish reports, as requested
- Month end closing reports to management
- Charts and graphs for management review
- Prepare spreadsheets and reports for various departments as needed
- Maintain and archive all generated printed media.
Employment Standards
Education/Experience: Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Recent college graduate with a Bachelor’s Degree in Business or completion of twelfth grade with two years’ experience in clerical, accounting and record keeping, purchasing, data entry and spreadsheet.
Knowledge: Basic purchasing principles, procedures and documents; types and sources of materials, supplies and equipment. Commonly used correct English, grammar, spelling and punctuation.
