Duties and Responsibilities

  1. Purchasing
    1. Purchase office supplies and other items submitted by company personnel
    2. Distribute order to the Accounts Payable department
    3. Place orders for raw materials (steel, stampings, etc)
    4. Record the receipt of raw materials and verify pricing
    5. Track steel pricing
    6. Backup to steel purchasing in the absence of Materials Management Manager.

 

  1. Order Support
    1. Track customer orders via internet
    2. Create work orders to support customer requirements
    3. Review routings, bills of materials and work orders for accuracy
    4. Backup for the routing of parts and bills of materials
    5. Print and fax steel purchase orders and assist in correspondence
    6. Assist Materials Management Manager with order entry

 

  • Customer Service
    1. Assist Materials Management Manager in handling all customer service
    2. Answer incoming phone calls and the front door

 

  1. Accounts Receivable
    1. Sales Order Invoicing
    2. Backup for cash receipts
    3. Maintain and properly archive all company invoices
    4. Prepare and process credit authorizations, as necessary
    5. Prepare and obtain the proper approvals for the sales rep commissions
    6. D.I transfers and any other electronic transactions
    7. Month end closing

 

  1. Reporting
    1. Publish reports, as requested
    2. Month end closing reports to management
    3. Charts and graphs for management review
    4. Prepare spreadsheets and reports for various departments as needed
    5. Maintain and archive all generated printed media.

 

Employment Standards

Education/Experience: Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Recent college graduate with a Bachelor’s Degree in Business or completion of twelfth grade with two years’ experience in clerical, accounting and record keeping, purchasing, data entry and spreadsheet.

Knowledge: Basic purchasing principles, procedures and documents; types and sources of materials, supplies and equipment. Commonly used correct English, grammar, spelling and punctuation.
